Palefest 2026 — Official Vendor Information & Pricing Guide

Event Dates: Friday, July 24 – Saturday, July 25, 2026
Vendor Load-In: Wednesday, July 22-23 at 2:00 PM
Vendor load-out: Sunday, July 26 by 2:00 PM

Palefest is excited to welcome vendors for 2026! This guide explains everything you need to know to participate as a vendor. Please read carefully — all rules, pricing, and requirements are mandatory.

1. Vendor Tiers & Pricing

A. Mask Vendors

HOW APPLICATIONS & PAYMENT WORK

Please read carefully:

1. Filling Out the Application Is 100% FREE

  • There is no cost to submit an application.

  • Every vendor must fill out an application, including Mask Vendors, Arts & Crafts Vendors, and Demonstration Applicants.

2. Pre-Registration Rates (For Applications Submitted Before the Official Release Date)

If you submit your application before the official vendor launch announcement: payment due by March 1st 2026

  • Mask Vendors: $200 (no cap on Item pricing)

  • Arts & Crafts Vendors: $100 (prices shall stay in-between previously agreed upon pricing)

  • Demonstration Vendors: May qualify for FREE participation if their demonstration is accepted.

No one pays when applying.
After your application is reviewed and approved, you will receive an invoice at the pre-registration rate. Payment won't be due until the beginning of march.

3. Prices Increase After the Official Vendor Release

Once the official release date hits:

  • Booth prices increase for both categories.

  • Only those who applied early get the locked-in pre-registration rate, even if prices go up later.

4. Applications Submitted Early Are Automatically Pro-Rated

If you applied before the official release date:

  • You are guaranteed the pre-registration rate.

  • You save money, no matter what the booth price becomes after release.

5. Arts & Crafts Vendors Are the ONLY Vendors Who Need to Worry About Canopies/Tables

To avoid confusion:

  • Mask Vendors have everything provided (table, chairs, backdrop, electricity).

  • Arts & Crafts Vendors must bring their own setup unless they rent one.

6. Live Demonstrations May Earn a FREE Booth

If your demonstration is strong, original, and fits the festival’s theme:

  • Your booth fee may be completely waived.

  • This applies to both vendor categories.

  • Demos are reviewed individually.

1. Vendor Categories & Pricing

A. Mask Vendors (Primary Vendor Category)

Pre-Registration Price: $200
(Prices increase after the official release date)

Booth Package Includes:

  • 10’ x 10’ space

  • 1 eight-foot table

  • 3 folding chairs

  • Drape & pole backdrop

  • Electricity access

  • Vendor camping space

  • 3 worker wristbands

  • Access to ALL festival events (day + night)

Rules:

  • Must sell mask, metal, horror or halloween-related merchandise only

  • No Palefest-branded merchandise

  • Vendors should bring helpers if needed

  • Tag in/out so you can enjoy the festival while the booth stays staffed

Reminder:

Mask Vendors do NOT need to worry about canopies, tables, or chairs — everything is provided. Although this event is completely outdoors, mask vendors will be located under a gigantic Quonset on a concrete slab with access to electricity.

B. Arts & Crafts Vendors (New Lower-Tier Category)

Pre-Registration Price: $100
(Prices increase after the official release date)

Setup Requirements:

You must bring your own:

  • 10’ x 10’ canopy

  • Tables

  • Chairs 

 

Optional Rental Packages:

  • Table + 2 chairs: $50

  • Canopy rental: $50

Product Rules:

  • All items must be handmade

  • No single item may exceed $40

  • No Palefest-branded merchandise

Included Amenities:

  • 3 worker wristbands

  • Access to all festival events (day + night)

Reminder:

Arts & Crafts Vendors are the ONLY vendor category that must worry about bringing canopies, tables, or chairs. once again. this is an outdoor event. be prepared for it to be hot.

Live Demonstration Option

Vendors may apply to perform a live demonstration.

If the demonstration is high-quality and relevant:

  • Booth fee may be waived entirely

  • You may participate for FREE

Applications will be reviewed individually.

2. Load-In & Load-Out Schedule

Load-In:
Wednesday, July 22 at 2:00 PM

Festival Hours:
Friday, July 24 – Saturday, July 25
11:00 AM – 2:00 AM

Load-Out:
Sunday, July 26 by 2:00 PM

Vendors are responsible for safe setup, maintenance, and breakdown of their booth.

3. Worker Wristbands & Staffing

  • Each booth includes 3 worker wristbands

  • Additional wristbands are available for purchase

  • Helpers must follow all festival rules

  • Vendors are encouraged to rotate helpers so they can experience the festival

  • Booths must stay staffed during festival hours

4. Legal & Waiver Requirements

All vendors must sign a full liability waiver, which includes:

Release of Liability

Vendors release Palefest, its founders, organizers, employees, volunteers, affiliates, and Land of Illusion (“Festival Partners”) from:

  • Personal injury

  • Property damage

  • Theft

  • Accidents

  • Loss

  • Death

  • Any other claim

Responsibility for Staff

Vendors are fully responsible for:

  • The safety and conduct of all helpers

  • Any business reporting, taxes, and permits

  • Ensuring their booth complies with all rules

Compliance

All vendors agree to:

  • Follow all booth rules

  • Sell only permitted merchandise

  • Respect festival property and other vendors

  • Follow safety guidelines

  • Understand that participation involves inherent risks

Acknowledgment of Risk

Vendors accept ALL risks associated with:

  • Festival activities

  • Setup/takedown

  • Attractions

  • Equipment

  • The environment

  • Crowd interactions

  • Summer time heat

Summary

Palefest and its partners are not responsible for any accidents, injuries, theft, or damages. Vendors participate at their own risk.

5. Payment & Registration Details

Mask Vendors:

  • Pre-registration: $200

  • Includes full booth package + camping

Arts & Crafts Vendors:

  • Pre-registration: $100

  • Optional rental packages available

Registration Process:

  1. Fill out the application (FREE)

  2. Application reviewed

  3. If approved, you will receive an invoice

  4. Early applicants get the pre-registration rate

  5. Waivers must be signed before load-in

6. Final Notes & Recommendations

  • Bring trusted helpers

  • Booths must remain staffed
